Phone system + WhatsApp · The-Y CRM

Missed calls, answered on WhatsApp.

Everyone's on a call and the phone keeps ringing? With The-Y CRM, the caller hears a short message, presses 1 and gets a WhatsApp message from your number seconds later. In your team inbox, the message, the consent with a timestamp and the reply sit in one conversation.

Test it yourself, with no sales call and no credit card. The Free plan stays free, with fair limits.

Only callers who press 1 get a message Consent saved with date and time Your own number, your own accounts

Sound familiar?

The phone rings, and right now nobody can take it.

You look after the phones or the shared inbox, and you know what happens when everyone is busy at once.

Voicemail instead of an answer

Callers want an answer now. Not everyone leaves a voicemail, and those who do wait until someone listens to it.

With The-Y CRM: instead of voicemail, the announcement offers a WhatsApp message. The caller decides with one key press.

Callback ping-pong

You call back, and now the customer can't pick up. Then they call again, and the line is busy again.

With The-Y CRM: the customer taps “In the morning”, “In the afternoon” or “Call now” in the message, or simply writes back.

Missed, but by whom?

Missed calls sit in the call list of a single phone. Nobody on the team sees who is calling back or what the customer wanted.

With The-Y CRM: the conversation lands in the shared inbox. The team gets a notification, one person takes it, everyone sees the status.

How it works

A WhatsApp callback instead of voicemail.

This is how our test call on 16 October 2026 went. Left: what the caller experiences. Right: what happens in your inbox.

The caller
  1. They call. The phones in your ring group ring.
  2. Nobody picks up. After the ring time they hear the announcement. Ours, in German: Leider ist gerade niemand frei. Drücken Sie die 1, … (“Sorry, nobody is available right now. Press 1 and we'll send you a WhatsApp message straight away, and we'll get back to you there. Or simply stay on the line.”)
  3. They press 1. A short confirmation plays, then the call ends.
  4. Seconds later on WhatsApp: a template approved by Meta, with three buttons.

If they press no key, they stay on the line and are forwarded. You choose where, for example to a mobile or to voicemail.

Your inbox
  1. A new WhatsApp conversation with the message that was sent. The CRM finds the contact by number or creates a new one.
  2. An internal note: Caller … asked for WhatsApp by key press (consent recorded with timestamp). The contact page shows the consent with date and time.
  3. A notification for the team. Whoever is free takes the conversation.
  4. The customer's reply, for example “In the afternoon”, appears in the same conversation. For the next 24 hours you can write freely.

German audio, captions in German
Real test call, 16 Oct 2026 · 34 seconds · sound only during the announcement · phone number blurred · CRM screen in German

What you see and hear (English transcript)

  1. 0:00 “Missed call? The customer presses 1 and instantly gets a WhatsApp.”
  2. 0:03 The customer calls. The team is busy, nobody picks up.
  3. 0:07 Instead of voicemail, the announcement offers WhatsApp (audio, in German): “Sorry, nobody is available right now. Press 1 and we'll send you a WhatsApp message straight away, and we'll get back to you there. Or simply stay on the line.” The customer presses 1, and the consent is saved with a timestamp.
  4. 0:18 The WhatsApp message arrives at once, with reply buttons: the customer picks a callback time (“In the afternoon”).
  5. 0:23 Everything lands in the inbox: the message, the consent with a timestamp and the reply, in one conversation.
  6. 0:30 The-Y CRM: team inbox for WhatsApp, email and phone, with a built-in phone system.

The CRM interface is also available in English and Turkish. The phone voice in the video is the built-in German one; see good to know.

Phone system + WhatsApp

Phone system and WhatsApp in one tool.

This works because the phone system is built into the CRM: ring group, announcement, menu and WhatsApp sending work together. You bring your own accounts.

NumberYour number from a phone provider, connected via SIP, currently sipgate, Zadarma or Twilio. Check that your provider offers the number you need, for example UK (+44) or Irish (+353). Your provider bills the minutes directly.
WhatsAppYour own WhatsApp number through your own Meta account (WhatsApp Business Platform). Meta bills you directly; The-Y adds no markup.
FlowRing group → if nobody answers, the callback menu → key 1 sends the template. A ready-made template in the CRM sets up the whole flow in one step and changes nothing you already have; its greeting texts are in German, so type or record your own.
GreetingThe built-in phone voice speaks German. For English, record the announcement in the browser or upload an audio file.
FallbackIf WhatsApp isn't possible, the CRM sends an SMS through your SMS provider (if set up) or adds a “callback requested” note.
What you set up once
  1. WhatsApp template: take “Missed call” from the gallery and have it approved by Meta. Build templates
  2. Announcement: record or upload it in English, or use text-to-speech in German.
  3. Callback menu: key 1 sends the WhatsApp message; with no key, the call moves on.
  4. Ring group: if nobody answers (e.g. after 20 seconds), go to the callback menu.

About 20 minutes according to the guide, once WhatsApp and the phone line are connected. The phone system applies changes within seconds. Set up telephony

Honestly

Safeguards and limits, before you suggest it.

How it's protected

  • Only after a key press. WhatsApp sending only works behind a menu key; the key press is the consent. Callers who don't press get no message.
  • Consent with a timestamp. It is saved with date and time on the contact and applies only to this reply, not to marketing: WhatsApp campaigns don't count it.
  • At most one such message per number in 24 hours. Numbers that opted out of WhatsApp get none.
  • Nothing gets lost. In these cases, and when the number is withheld, the inbox shows “callback requested”. Then you call back.

Good to know

  • Meta has to approve the template. The first message to the caller is a template. Until it's approved, the fallback applies (SMS or note).
  • Meta charges every delivered template directly to you, price per country. All costs with a calculator: what The-Y CRM really costs.
  • The built-in phone voice speaks German. Record or upload your English announcement. The short confirmation after pressing 1 is currently always read by the German voice, so listen to the whole flow in a test call before you switch it on for customers.
  • The-Y CRM is Alpha software. Open points are listed under known issues.

Tested it and want to suggest it? These usually come up first. Forward them with one click.

  1. Testing costs nothing. A free account with no sales call and no credit card; the Free plan stays free, with fair limits. Pricing
  2. No lock-in, because everything runs on your own accounts. The WhatsApp number belongs to your own Meta account, the phone number to your phone provider; both stay yours. Your data can be exported at any time (CSV and snapshot) or moved to your own server, because it's the same software.
  3. Nobody gets a message they didn't ask for. Only callers who press 1, and at most one message per number in 24 hours.
  4. Consent you can trace. It is saved with date and time on the contact, only for this reply, not for marketing. A data processing agreement is available.
  5. Costs billed directly by your providers. Meta bills the WhatsApp templates to you, your phone provider bills the minutes; The-Y adds no markup. Cost calculator
Forward by email The email opens in your own mail program, with a ready-made text you can edit.

FAQ

What people usually ask.

Is this a missed call text back that messages every missed caller?

No. Meta requires consent before your first message to someone who hasn't written to you. That's why the announcement asks first: only when the caller presses 1 does the message go out automatically, and the consent is saved with a timestamp. Callers who press no key stay on the line and are forwarded, for example to a mobile or to voicemail.

Does it work in English?

Partly, today. The WhatsApp message is your own template and can be in English. The built-in phone voice speaks German, so you record your English announcement in the browser or upload an audio file. The short confirmation after pressing 1 is currently always read by the German phone voice. Listen to the whole flow in a test call before you switch it on for customers.

Do we need a new phone number?

You need a number with SIP access from a phone provider, currently sipgate, Zadarma or Twilio. We don't buy numbers for you; the number runs on your own account with the provider. Whether an existing number works depends on your provider. Set up telephony

Which WhatsApp number does the message come from?

From your own, connected through your own Meta account (WhatsApp Business Platform). Meta bills the messages directly to you; The-Y adds no markup. Connect WhatsApp

What about consent and data protection?

The caller decides by pressing a key. The CRM saves the consent with date and time on the contact; it applies only to this reply, not to marketing. A data processing agreement is available. We don't make blanket legal promises: whether the flow fits your business is best checked by whoever handles data protection for you.

What does it cost?

Testing is free, and the Free plan stays free, with fair limits; for larger teams there is Cloud Pro. Ongoing costs go directly to your providers: Meta for every delivered WhatsApp template (price per country), your phone provider for call minutes. All prices and a calculator are on the costs page.

What if we stop using The-Y CRM?

Your WhatsApp number and phone number run on your own accounts with Meta and your phone provider and stay yours. You can export your data at any time (CSV and snapshot), or move to your own server; it's the same software.
